Importing and Creating Contacts

This support article only applies to those accounts with membership management capability.

Because importing members is a fairly tricky business, the PTOffice support team is more than happy to import your MS Excel or CSV file for you at no charge! Simply email the file to support@ptoffice.com and provide your name and website name and we’ll have it all done within 2 business days!

Otherwise, we recommend simply spreading the word about your website and asking your members to register to your new site as soon as possible! Here’s how someone can register…

  1. Direct your members to your website.
  2. Have your members click the ‘Sign Up’ button at the top of the site.

Manually add a single user:

  1. LOGIN to your PTOffice account.
  2. Under the Membership menu, choose All Members.
  3. Click the Add New button to add a new user.
  4. The Profile menu contains basic information for the member. To add details found in the profile fields on the front-end website, click the Extended Profile tab. Here you can enter the user’s details.
  5. Be sure to click the Update Profile button on the respective pages to save your changes.

At this point, if you’d like to invite the member to join your site, you can choose to either enter a password for them and then communicate that password to the member, or choose the Send Reset Link button which will send an email requesting that they reset their password to access your Invite the member:

Note: For a basic member, the suggested role is Subscriber.


How to Import from a CSV file:

  1. LOGIN to your PTOffice account.
  2. Under the Membership menu, choose All Members
  3. Upload a properly formatted import CSV file (we recommend using the file you can download after clicking the ‘Import’ button using the Download Import Template button). Note: The first four columns must be labeled “username”, “email”, “first_name” and “last_name”.
  4. We recommend the ‘updating existing users’ setting to be marked as ‘Yes‘.
  5. Your column headers in your import file MUST MATCH the field names you see in the downloaded file. These are all the profile fields within your database.
  6. Select you import file
  7. Click the Upload button to begin your import.

This process can take some time, so wait for the process to finish.

Helpful hint: If you make a mistake and a field’s data does not get imported or is imported incorrectly, you can fix your CSV file and re-import. Just use the update existing contact option!
